How To Set Up An AI Workflow For Overdue Invoice Reminders
3 min read

Chasing overdue invoices is repetitive and easy to put off. It is also a reasonable first workflow to automate in part: the steps are clear, the wording follows a pattern and a person can check the result.
For a guided course covering draft workflows, Build Your First AI Workflow is a free beginner course on the same ground.
Map The Steps First
Write down what you do today. Find the unpaid invoices, check how late each is, decide the tone, write the message, send it and note the date. Seeing the list shows which steps are mechanical and which need judgment.
Decide What AI Does
Use an approved tool and only the invoice details needed for the draft: client name, amount, due date and days late. Confirm the current balance, payment status and any dispute before drafting. Keep decisions such as whether to call the client, offer a payment plan or pause reminders for a person.
Write The Instruction
Say what the draft must include, what tone to use for first and later reminders, and what it must not do, such as threaten or invent details. A hypothetical instruction: "Write a polite two-sentence reminder using only the facts provided."
Add Checks Around The Draft
Before anything is sent, check that the amount and date match the invoice and that the client name is right. Have a person review the recipient and final message before sending. Define any later automatic-send scope separately; a good draft does not establish permission to send it.
Test On Past Cases
Run the workflow on synthetic invoices or permitted, redacted past cases, including a partial payment or a disputed amount. Note where the draft gets it wrong and adjust the instruction.
Keep It Running
Review a sample of drafts regularly, watch what the tool costs and decide what happens when it fails. Time saved is only real if you measure it.
If You Want A Guided Course
The course page for Build Your First AI Workflow lists 15 lessons for beginners. They include a build for overdue invoice reminder drafts and a build for lead triage and follow-up drafts. The page lists the course as free, and lesson 1 is a free preview.
Open the course outline and start with lesson 1. Review the overdue-invoice and lead-triage build topics before choosing which draft workflow to try.
