Build Your First AI Workflow
Pick the Right First Workflow

Lesson 3 of 15 - 9 min

Choose Your Tools

You need three things: something that starts the workflow, something that moves data between your apps, and a model for the writing and judgment steps. Many no-code automation platforms bundle the first two. Start with the simplest setup that handles your task.

A Note on Dates

Prices, plan limits and features shift often. Treat anything you read about them, including here, as dated, and check the current pricing page before you decide. This lesson was written in October 2026.

Tool Checklist

  • Does it connect to the apps your data lives in?
  • Can you see a log of every run, with run ID, status, timing and cost?
  • Can you pause it with one click?
  • Can you choose or fix the model version it uses?
  • Does it show or let you set limits on runs, retries and spend?
  • Can you see where your data is sent, stored and for how long?
  • Is there a plan that fits your volume without a surprise bill?
  • Can you export your work if you leave?

Worked Example (Made-Up Numbers)

Dana compares two automation platforms against the checklist. Both connect to her notes app and her email. One shows a full run log and lets her pause with one click. The other hides run history on its free plan. She picks the first, even with fewer templates, because she'll need to see what went wrong.

Common Mistakes

  • Choosing by number of templates instead of logs and control.
  • Picking a tool you can't leave.
  • Paying for a large plan before the workflow has proven itself.

Exercise

Pick two tools. Answer each checklist question for both from their current documentation. Choose one and write why in one line.
