Email Warmup Schedule And What To Do If Your Domain Is Blacklisted

Once you know why emails are missing the inbox, the next question is what to do about it. Start by documenting a preflight check before sending, a steady warmup for new mailboxes and a plan for when something goes wrong.

Run A Preflight Check

Before each campaign, confirm that your authentication records pass, your list is cleaned of bad addresses, your message has no broken links and your sending volume fits what the mailbox has handled before. Record what you checked and any failures before starting the campaign.

Warm Up New Mailboxes Gradually

A new mailbox has no sending history. Start with a small number of messages a day to people likely to engage, then raise the volume in steps over weeks. Avoid sudden increases. Monitor bounces, deferrals, complaints and domain reputation, and reduce sending when those worsen. Follow provider limits and send only where your provider rules and recipient permissions allow it.

Know What A Blacklist Means

A blocklist identifies sending IP addresses or domains that receiving systems may use when filtering mail. Landing on one does not always mean disaster, since different lists carry different weight. Check which list you are on and what it says.

Respond To A Listing

Stop or reduce sending from the affected domain. Find the cause, such as a bad list or a compromised account, and fix it. Follow the list's removal process if it has one. Resume slowly once the cause is fixed.

Keep Healthy After The Fix

Keep volume steady, remove addresses that bounce, honor unsubscribes and watch complaint rates. Review the preflight check each time.

If You Want The Files Ready

The Deliverability Fix Kit packages these three jobs into ready files: the preflight checklist, the warmup schedule and the repair playbooks. Match them to the problem you've actually confirmed - authentication, volume or a blocklist - rather than treating the kit as a substitute for the diagnosis.
